Tradeshow Coordinator:

Covaris, Inc. is a biotech company with headquarters in Woburn, Massachusetts. Covaris has developed the Adaptive Focused Acoustics™ (AFA) technology platform, which enables pre-analytical sample preparation, enabling the extraction, purification, and collection of nucleic acids, proteins, and metabolites from a wide variety of samples. Covaris AFA technology is the gold standard for DNA fragmenting for Next-Generation Sequencing. Covaris products have unique and competitive advantages for Genomics, Proteomics, and Epigenomics research scientists.

Summary:

We are seeking an enthusiastic and detail-oriented tradeshow coordinator to join our dynamic marketing team in the life science industry. The ideal candidate will be responsible for planning, coordinating, and executing our presence at national trade shows to increase brand visibility, generate leads, and support commercial goals. This role requires at least two years of relevant experience, the ability to multi-task well, and an effective communicator.This individual will work cross-functionally with marketing including the product management team, sales, and external vendors to ensure high-impact, well-organized tradeshow experiences that reflect the company’s leadership in the life sciences space.

Basic Qualifications:

The employee may be required to perform all or a combination of the following essential duties as determined by business necessity.

  • Assist with end-to-end coordination of industry tradeshows and symposia as well as help plan our annual sales meeting.

  • Manage event logistics including overseeing booth setup, shipment of materials, rent lead retrieval systems, and vendor coordination.

  • Track and manage tradeshow budgets, timelines, and inventories, ensuring projects stay on schedule and within budget.

  • Support the development and delivery of marketing collateral, booth graphics, promotional items, and digital assets for events.

  • Collaborate with sales and product marketing teams to align event messaging, demos, and presentations with strategic goals.

  • Coordinate event registrations and hotel room blocks for staff, and manage event calendars, including booth staffing.

  • Capture and organize leads from events; ensure timelyfollow up by the commercial team and assist with follow-up campaigns.

  • Maintain tradeshow metrics including lead quality and number, overall attendance of show year on year, and feedback reports to guide future strategy.

  • Help organize customer dinners at key tradeshows.

  • Ensure compliance with industry regulations and corporate branding standards.

  • Maintain an organized inventory of tradeshow assets and promotional materials.

Preferred Qualifications:

  • Bachelor’s degree in Marketing, Communications, Business, Life Sciences, or related field.

  • 4+ years of experience in tradeshow coordination, events, or marketing, ideally in the life sciences or healthcare industry.

  •  Strong organizational skills with a proven ability to manage multiple events and deadlines simultaneously.

  • Excellent written and verbal communication skills.

  • Experience working with external vendors, exhibit houses, and freight/shipping logistics.

  • Comfortable working cross-functionally in a fast-paced, team-oriented environment.

  • Occasional travel (two to three shows domestically) to support onsite event execution.

  • The position is mostly remote; however, the appropriate candidate must reside in the Greater Boston/Southern NH area and occasionally come on site to the Woburn office to oversee shipments.
