Role Overview:

As a Scientific Equipment Coordinator, you will play a crucial role in coordinating and planning laboratory asset installations, decommissions, and various asset management activities. You will support researchers in ensuring quality and compliance related to laboratory instruments, collaborating daily with business managers, instrument owners, engineers, and third-party vendors, all while working closely within a delivery team alongside laboratory managers.

Key Responsibilities:

Coordination of Instrument Installations and Relocations:

  • Prepare and remodel laboratories in advance of new installations.
  • Plan and manage bookings for visits from external suppliers related to our instrument inventory.
  • Communicate effectively with vendors and manufacturers to understand technical requirements.
  • Oversee and follow up on tickets with in-house service providers.
  • Assist during the installation and qualification processes.
  • Coordinate training sessions for users and engineers.
  • Maintain asset registration and labelling, establishing criticality and preventive maintenance policies.

Coordination of Instrument Decommissioning:

  • Identify equipment for replacement or disposal.
  • Manage decommissioning documentation in accordance with procedures.
  • Assess equipment for potential on-site replacement or second-hand market opportunities.
  • Update the Instrument Management Systems and maintain accurate logbooks and labels.

Additional Requirements:

  • Familiarity with documentation related to GxP classified assets (SOPs, guides, instructions, etc.).
  • Provide guidance on planned maintenance and qualifications.
  • Ensure compliance with safety, health, and environmental protocols in all instrument-related changes.
  • Engage in continuous improvement initiatives, including Lean practices.
  • Drive sustainability efforts concerning our instrument inventory.
  • Actively participate in relevant meetings and maintain regular communication with business partners.
  • Uphold company policies and comply with all established standards.
  • Maintain compliance in health, safety, security, and environmental practices, while actively managing risk reporting.

  • Exceptional written and verbal communication skills in English; proficiency in Swedish is a plus.

Qualifications:

  • Education: Bachelor’s degree in a relevant scientific field (biomedicine or biotechnology preferred).
  • Experience: Minimum of 5 years in a laboratory environment, with knowledge of common laboratory instruments and their technical specifications.
  • Familiarity with following SOPs and guidelines in highly regulated environments, preferably GxP.

Working Environment:

  • This position requires working in a laboratory setting with controlled environments and necessary personal protective equipment (e.g., lab coat, safety glasses).
  • The pace of work may be fast, and the completion of tasks may require a high level of focus and attention to detail.
  • Specific visual abilities necessary for this role include the capacity to observe details at close range, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Responsibilities may include handling hazardous waste in compliance with local, state, and federal regulations, including identifying, storing, and labeling hazardous materials.
  • This role may involve exposure to lab-based hazards such as extreme temperatures, biological materials, and hazardous chemicals, and may require completion of Medical Clearance and Respiratory Protection Trainings.
