Prevention Officer and Facilities Coordinator will ensure that all legal regulations regarding health and safety are in place and to provide a first-class service in respect of facility and health and safety management.

The role will assist sales and service with tender process for the BeNeLux region and provide ad hoc assistance at reception and administrative support for the Belgian Leadership Team.

Responsibilities:

Prevention Officer

  • Internal Prevention Service following the legal legislation and propose/maintain policies and procedures as appropriate (e.g. Fire, First Aid, Evacuation).
  • Risk analysis of the workplace and prepare annual report
  • Interface with the External Department for Prevention and Protection at Work (Mensura) to ensure that the legal obligation relative to the medical protection of the workers are properly given and reported
  • Secretary of the Committee for Prevention and Protection at Work (CPP); organization, preparation and reporting of the monthly meetings
  • Administration of work accidents and develop general accident preventive and risk management programs and coordinate the safety training programs (VCA)
  • Follow-up on Safety Guidelines for Service Engineers and management of dosimeters, organize medical examinations, risk analysis and personal protection gear ordering for the Service Department
  • Provide support as required to Service leaders in complying with safety regulations at customer site
  • Take action to improve the wellbeing on the workplace. Organize initiatives in collaboration with HR and site management
  • Maintain contacts with regulatory agencies, local authorities, and professional organizations and represent the organization in national and local safety activities

Facilities Coordinator

  • Insurance and contract management and invoice control of facility contracts
  • Annual budget planning and control
  • Operational building maintenance, focal point for internal and external customers, perform and organize maintenance duties as needed (electricity, moves, cleaning team, security…)
  • Company car and mobile phone fleet management
  • Administer access-control of the Mechelen/Heverelee offices (badge system, camera control, key security)
  • First Line support for emergencies
  • Maintain intranet

Tender Administration

  • Assist sales and service organization in submitting tenders (incl. E-tendering)
  • Request/collect legal documents needed in tender process (social security, FOD, finance etc.)
  • Follow-up on warranty deposits

Requirements:

  • Bachelor’s degree or equivalent through experience
  • + 3 years of experience of facilities administration or prevention/health/safety is a plus
  • Holder of a prevention advisor certificate level 3 or willingness to obtain this certificate through training
  • Languages: Fluent in Dutch, French and English
  • Strength in use of Outlook and MS Office suite
  • Excellent communication skills
  • Attention to detail, self-motivated, service oriented, able to work on multiple assignments and problem solving skills
