Location Kraków, PL Job ID REQ-056329We’re looking for a detail-oriented, proactive, and customer-focused Payroll & HR Operations Support Specialist to support our HR teams. In this role, you will play a key part in ensuring smooth and compliant HR processes across the full employee lifecycle—while serving as a trusted partner to employees, managers, and cross-functional teams across EMEAI.
Role is based in Krakow.
Hybrid working model, Krakow, Quattro Business Park (3 days office).
It’s a fixed term role, until September 2027.
Responsibilities:
Payroll Preparation
Support the monthly payroll process (preparation and provision of payroll-relevant data).
Maintain time management data (working hours, absences, overtime).
Review payroll results in coordination with Payroll or external service providers.
HR Administration & Personnel Files
Maintain and manage employee master data in the HR system (e.g., Workday, SAP HR).
Create and maintain digital and physical personnel files.
Prepare employment contracts, contract amendments, supplementary agreements, and warnings.
Issue certificates, confirmations, and employer statements.
Employee Lifecycle Management
Administration of processes from onboarding to offboarding:
Onboarding (preparation of documents, notifications, system setup, welcome process)
Transfers and contract changes
Offboarding (processing resignations, certificates, exit processes)
Preparation of employment and interim references based on input from managers
Communication & Employee Support
Act as point of contact for employees and managers regarding administrative HR matters.
Support with questions on payroll, vacation, sickness, parental leave, maternity protection, etc.
Act as an interface to internal departments (e.g., Finance, IT) and external authorities, health insurance funds, and insurance providers.
Compliance, Legal & Reporting
Ensure compliance with legal requirements (labor law, GDPR, social security regulations).
Prepare HR reports and statistics.
Support internal audits and quality processes.
Skills and qualifications:
Professional requirements
2 + years of professional experience in HR administration, payroll preparation, and personnel administration.
Very good German skills and good English skills, both written and verbal.
Knowledge of labor law, social security law, and payroll processes.
Confident use of HR management systems (e.g., Workday, SAP, Datev) and MS Office.
Experience with digital personnel files and HR document management systems.
Hands on experience with Excel.
Basic knowledge of reporting tools or BI applications for creating HR metrics and statistics (e.g., Power BI, Tableau) would be a plus.
Knowledge of interface management between HR and payroll systems as well as Finance/Controlling.
Understanding of data quality, data protection, and IT security when handling personal data.
